Space Planning

The Project Planning Department works closely with the Office of the Provost, the Office of Capital Programs & Real Estate Services, and individual colleges and departments university-wide to monitor and manage campus space assignments. The Office of the Provost is responsible for assigning all campus space. Therefore, all recommendations for new space assignments or reassignments must receive their approval.

In most cases, space planning is a prerequisite to small or major remodels, additions or new facilities, or even leasing requests. The Project Planning Department will analyze the needs identified by the unit and evaluate all available options. These analyses may be prepared by in-house planning staff or conducted through studies with outside Profession Services Consultants. For all new and modified (if feasible) spaces, the Urbana campus space standards will be applied. Additionally, in response to the Illinois Climate Action Plan, which has committed the campus to carbon neutrality by the year 2050, a no net increase in space goal has been established. Therefore, space request that will result in a positive change to the overall campus footprint must include supporting justification or provide reduction offset options for review.

The space inventory database is maintained by F&S Facilities Information Resources Department. The database contains all assignments for University-owned or leased, on and off campus space occupied by University of Illinois units. This inventory is also used to verify indirect cost studies for assessing grant-supported research space, manage over 70 university commercial space leases, and record interdepartmental transfers.

Decisions to decommission facilities that are no longer viable are also evaluated as a space planning matter.
